Position Overview

Miami Waterkeeper seeks a highly organized and detail-oriented Development Associate to support the operational backbone of the Development team. This role is primarily responsible for database management, reporting, and donor acknowledgment and stewardship. The Development Associate plays a critical role in ensuring data integrity, timely donor communications, and accurate reporting to support fundraising success.

Event support experience is a plus, but the core focus of this role is development operations and stewardship, not event management.

Essential Responsibilities

Database Management & Reporting - 50%

  • Manage and maintain the organization’s CRM (Bloomerang), ensuring accuracy and integrity of donor and prospect records
  • Enter and process gifts, pledges, and payments in a timely manner
  • Update constituent profiles, donor statuses, actions, proposal information, and gift records
  • Create and generate standard and custom reports (e.g., weekly gift reports, donor retention, campaign tracking, board reports)
  • Support reconciliation of fundraising revenue in coordination with Finance
  • Maintain and document standard operating procedures (SOPs) for database and reporting functions
  • Ensure development systems and records are current and well-organized

Donor Acknowledgment & Stewardship - 25%

  • Prepare and send timely gift receipts and thank-you letters
  • Lead donor stewardship workflows and ensure acknowledgment standards are met
  • Assist with monthly giving and mid-level donor program administration
  • Track and update PartnerSHIP donor recognition and benefits
  • Create, send, and track invoices and payments as needed
  • Conduct donor and prospect research to support cultivation and stewardship efforts
  • Coordinate and lead the growth of the monthly donor program (A.N.C.H.O.R. Program) through cultivation and stewardship.

Development Team Support - 25%

  • Assist with scheduling donor meetings and internal development meetings
  • Support prospect research and portfolio management as needed
  • Provide administrative and reporting support for major gifts and campaigns (i.e., Earth Month, Give Miami Day, Giving Tuesday, End of Year)

Preferred Qualifications

  • 2–4 years of experience in development operations, fundraising administration, or a related field
  • Experience working with a CRM (Bloomerang preferred)
  • Strong attention to detail and organizational skills
  • Ability to manage multiple deadlines and prioritize effectively
  • Comfort working in a fast-paced, collaborative environment
  • Event coordination and support experience is a plus, but not required

Salary: $50,000 - $60,000
